Privacy Policy

This policy explains what information RDB collects, why we use it, when we share it, and the choices available to you. It applies to rolstonbrowne.com and the RDB services described below.

1. Who we are

This Privacy Policy explains how Rolston Browne, operating as RDB, collects, uses, shares, and protects personal information when you use rolstonbrowne.com, create an account, submit a request, communicate with our office, purchase or schedule a service, apply to work with us, or otherwise interact with our services.

RDB is a human-led, AI-assisted office that provides software and website development, operations support, research, career support, administrative assistance, home-service coordination, companion and household support, and other requested services. Some services are delivered directly by RDB. Other services may be supported, fulfilled, promoted, or coordinated through affiliated ventures, partner companies, contractors, or independent service providers.

2. Information we collect

We may collect information you provide directly to us, information generated through your use of the platform, information received from service providers, and information obtained from public or authorized third-party sources when needed to perform work you request.

  • Identity and contact information, including your name, email address, phone number, organization, job title, and account information.
  • Address and service-location information, including ZIP code, city, state, street address, apartment or unit number, preferred service dates, backup dates, and preferred time of day.
  • Request and project information, including the problem you want solved, service details, instructions, communications, files, photographs, attachments, notes, and follow-up information.
  • Career-service information, including resumes, CVs, employment history, role preferences, salary preferences, availability, application materials, and information needed to identify or pursue employment opportunities.
  • Research information, including names, organizations, public-record details, professional-service needs, legal-service search criteria, and materials you ask us to review.
  • Household and companion-service information, including service needs, household details, scheduling preferences, service location, and information reasonably necessary to coordinate providers.
  • Application and workforce information, including invite codes, work history, availability, qualifications, resumes, and information submitted by people applying to work with us.
  • Billing and transaction information, including invoice amount, payment status, transaction reference, billing contact information, and limited payment-related information provided by our payment processors. We do not need to store your full payment card number when payment is processed by a third-party payment provider.
  • Account, device, and security information, which may include login events, IP address, browser type, device information, timestamps, security alerts, and activity logs used to protect the platform and maintain accountability.
  • Communications with RDB, including messages, request history, updates, support communications, email correspondence, and text entered through voice transcription.

3. Sensitive information

Depending on the service you request, you may choose to provide information that is sensitive, such as financial documents, employment history, family information, legal or court-related information, household details, credentials, or other private materials.

Please provide only information reasonably necessary for the service. Where the platform offers a secure submission or credential workflow, use that workflow instead of ordinary email or general message fields for highly sensitive information.

RDB does not ask you to provide sensitive personal information for unrelated profiling or advertising purposes.

4. How we use information

  • Receive, review, route, and respond to service requests.
  • Create and manage client accounts and connect existing client work to the correct account.
  • Perform requested software, operations, research, career, administrative, household, companion, and related services.
  • Prepare estimates, quotes, invoices, deposits, payment requests, and transaction records.
  • Schedule services, coordinate providers, and communicate service details.
  • Prepare resumes, CVs, application materials, prospect lists, research reports, outreach, and follow-up when authorized by the client.
  • Contact employers, recruiters, businesses, professionals, contractors, service providers, or other third parties when doing so is part of work you requested or authorized.
  • Provide customer support, status updates, reminders, and follow-up communications.
  • Maintain internal records, action logs, operational history, service results, and quality-control information.
  • Detect fraud, abuse, security incidents, unauthorized access, and other harmful activity.
  • Improve our services, workflows, software, internal processes, and customer experience.
  • Comply with legal, accounting, tax, regulatory, and contractual obligations.

5. AI-assisted processing

RDB uses artificial intelligence and automation to assist our staff and clients. AI may help summarize requests, organize information, draft communications, identify next steps, retrieve approved internal knowledge, support research, prepare status updates, route work, or assist with authorized record updates.

AI-assisted actions are subject to platform permissions, access controls, and operational rules. Certain actions may require human review or approval before they are completed. RDB may maintain logs showing that an action was AI-assisted and which human account or staff member was responsible for the action.

AI output can be incomplete or inaccurate. AI assistance is not a substitute for advice from a licensed attorney, medical professional, financial professional, or other regulated professional. High-stakes decisions should be independently reviewed by an appropriately qualified person.

6. Voice transcription

Where voice input is available, you can speak instead of typing. Your browser, operating system, or device may process your speech through its speech-recognition service and convert it into text. RDB receives the resulting text that is entered into the field.

Depending on your browser or device, the underlying audio processing may be handled by a third-party speech-recognition provider. RDB does not control the privacy practices of the browser, operating system, or speech provider used by your device. You can choose not to use voice input and type instead.

6A. In-app messages, calls, recording, and transcripts

RDB may provide private in-app messaging, voice messages, audio calls, video calls, file sharing, and screen sharing between authorized staff and clients. Call history may show participants, call type, start and end times, duration, whether screen sharing occurred, and whether recording occurred.

Where call recording is enabled, participants are shown a recording notice in the call experience. Recorded media may be stored in private platform storage and used to create internal transcripts, summaries, decisions, and action items. Recording and transcription settings are controlled by authorized administrators.

Call recordings and generated transcripts are restricted to authorized administrative access in the platform. Other call participants may see the call record and duration without receiving access to the administrative transcript. RDB may use AI-assisted tools to transcribe or summarize recorded calls and to propose follow-up work, but proposed operational changes still require the permissions and review rules of the RDB office system.

Availability of calling, recording, screen sharing, speech recognition, and media capture can vary by browser, device, network, and permissions. You may decline microphone, camera, or screen-sharing access, although doing so can prevent the related feature from working.

7. Payments

Payments may be processed through Base44 Payments, Wix, or another payment provider identified at checkout. Payment providers may collect card, bank, billing, identity, fraud-prevention, and transaction information under their own privacy policies and terms.

RDB may receive and retain information such as payment status, amount, currency, transaction or checkout reference, invoice information, billing contact information, and dates associated with a transaction. RDB does not represent that it stores full payment card numbers when those numbers are handled directly by the payment provider.

8. Partner promotions, affiliated ventures, and service fulfillment

RDB may promote, coordinate, subsidize, or facilitate services offered or fulfilled by affiliated ventures, partner companies, contractors, independent service providers, or other organizations. For example, qualifying home-service work may be coordinated with or backed by Grandson Services.

When you request a partner-supported or affiliated service, we may share the minimum information reasonably necessary to quote, schedule, fulfill, support, verify, or resolve that service. This may include your name, phone number, email address, service address, requested service, scheduling preferences, service notes, and relevant attachments.

RDB does not sell customer personal information to partners for their unrelated marketing purposes. A partner or provider that receives information to perform a requested service may also have its own legal obligations and privacy practices.

9. Career services and employment opportunities

If you hire RDB for career support, we may use information you provide to prepare or improve resumes, CVs, applications, professional profiles, cover letters, prospect lists, and related materials. When authorized, we may identify openings, submit or assist with applications, communicate with employers or recruiters, and follow up regarding opportunities.

We share employment-related information only in connection with services you requested or authorized. RDB does not guarantee employment, interviews, hiring decisions, compensation, or employer responses.

10. Research and professional sourcing

When you request research, public-record assistance, company research, attorney sourcing, professional sourcing, or similar work, we may search public websites, public records, directories, databases, news sources, professional websites, and other sources that are lawful and reasonably relevant to the request.

Third-party and public-record information may be incomplete, delayed, outdated, inaccurate, or associated with another person or organization with a similar name. RDB does not represent that public-source research is an official background report, legal opinion, credit report, consumer report, or substitute for professional due diligence unless we expressly agree otherwise in writing and are legally permitted to provide that service.

11. Contractors, companions, and home-service providers

When you request cleaning, plumbing, handyman work, moving, appliance help, maintenance, companion support, household help, or another home-related service, RDB may share relevant service information with contractors, cleaners, tradespeople, companions, service companies, affiliated ventures, and fulfillment partners that may quote, accept, coordinate, or perform the work.

We limit this sharing to information reasonably necessary to evaluate or fulfill the requested service. Service providers may be independent businesses or contractors and may have their own privacy obligations.

12. Service providers and technology vendors

We use third-party service providers to operate the platform and deliver services. These may include hosting and software-platform providers, authentication providers, payment processors, email providers, analytics and security providers, file-storage providers, AI providers, communications tools, and other vendors that support our operations.

Examples may include Base44 and Wix where those services are used for application hosting, authentication, payments, or related infrastructure. We may provide these vendors with information necessary for them to perform services for us, subject to their agreements, privacy practices, and applicable law.

13. Account linking and existing client records

RDB may perform work for a person or organization before that person creates a platform account. If you later create an account, we may use your authenticated or verified email address and other matching information to connect your account to existing client records, service requests, invoices, results, or work history that belongs to you.

If information produces multiple possible matches or another conflict, we may require manual review before linking records. We do not intentionally link another person's client record to your account solely because of an unverified similarity.

14. Cookies, analytics, and technical information

Our site and service providers may use cookies, local storage, session technologies, logs, and similar tools to keep you signed in, remember preferences, maintain security, understand site performance, diagnose problems, and improve the service.

If RDB later uses advertising pixels, retargeting technologies, or other tracking that is legally treated differently from essential analytics or security, we will provide any notice or choice required by applicable law and update this policy when appropriate.

15. How we share information

We may disclose personal information when reasonably necessary to operate the service, complete work you requested, protect the platform, or comply with law.

  • With RDB staff and authorized team members who need access to perform their work.
  • With affiliated ventures, partners, contractors, companions, and service providers when needed to quote, schedule, fulfill, support, or resolve a service you requested.
  • With employers, recruiters, professionals, businesses, or other recipients when sharing is part of work you requested or authorized.
  • With technology, hosting, authentication, payment, communications, AI, analytics, file-storage, and security providers that support RDB.
  • With accountants, insurers, professional advisers, or legal advisers where reasonably necessary for business operations or legal compliance.
  • With law enforcement, regulators, courts, or other parties where required by law or reasonably necessary to protect rights, safety, security, or prevent fraud.
  • In connection with a merger, financing, acquisition, reorganization, sale of assets, or similar business transaction, subject to applicable law and appropriate confidentiality protections.

16. Sale of personal information and unrelated advertising

RDB does not sell personal information for money. We do not share personal information with partners for their unrelated advertising purposes unless we provide the notice and choice required by applicable law.

This does not prevent us from sharing information with a provider or partner when that sharing is necessary to perform a service, administer a promotion, process a payment, communicate with you, maintain security, or otherwise operate RDB as described in this policy.

17. Data retention

We retain personal information for as long as reasonably necessary for the purposes described in this policy, including providing services, maintaining client and business records, preserving work history, processing payments, complying with tax and accounting requirements, resolving disputes, preventing fraud, enforcing agreements, maintaining security, and meeting legal obligations.

Different categories of information may be retained for different periods. When information is no longer reasonably necessary, we may delete, de-identify, archive, or restrict access to it, subject to legal and operational requirements.

18. Security

RDB uses reasonable administrative, technical, and organizational safeguards designed to protect personal information. Depending on the feature, safeguards may include authenticated accounts, role-based permissions, secure backend functions, access restrictions, audit or action logging, security monitoring, and dedicated secure-submission or credential workflows.

No internet service, transmission method, or storage system can be guaranteed to be completely secure. You are responsible for protecting your account credentials and notifying us if you believe your account or information has been compromised.

19. Your choices and privacy rights

Depending on where you live and the law that applies, you may have rights regarding your personal information. These rights may include requesting access, correction, deletion, portability, or information about certain disclosures, and objecting to or limiting certain processing.

You may also opt out of non-essential promotional email communications using the method provided in the message or by contacting us. Service, account, billing, security, and transactional communications may still be sent when necessary to provide the service or maintain your account.

We may need to verify your identity before completing a privacy request. We may also retain information where necessary for payments, taxes, fraud prevention, dispute resolution, security, legal compliance, or other permitted purposes.

20. U.S. state privacy rights

Residents of certain U.S. states may have additional rights under applicable state privacy laws. Where such a law applies to RDB and to the particular information or activity, we will honor the rights and disclosures required by that law.

Because privacy-law coverage can depend on factors such as location, type of information, purpose of processing, and business thresholds, this section does not mean that every state privacy law applies to every RDB service or customer.

21. Children

RDB services and accounts are intended for adults. We do not knowingly request or create accounts for children under 18. If you believe a child has submitted personal information to us without appropriate authorization, contact us so we can review the situation.

22. Third-party websites and services

Our website may link to third-party websites, service providers, employers, professionals, partner businesses, affiliated ventures, or other external resources. Those third parties control their own websites and privacy practices. This Privacy Policy does not govern information you provide directly to a third party outside RDB.

23. Changes to this Privacy Policy

We may update this Privacy Policy from time to time to reflect changes in our services, technology, partners, legal requirements, or business practices. We will post the updated version on this page and update the effective date. Where required by law, we will provide additional notice of material changes.
